Hire Terms & Conditions: Ōmokoroa Football Clubrooms
By hiring the pavilion, the Hirer agrees to abide by the following terms and conditions. Failure to comply may result in additional cleaning fees or costs being charged to the Hirer.
1. Booking, Payment & Cancellation
- Hire rate: $25 per hour (GST included).
- Confirmation: A booking is not confirmed until you receive a confirmation email from the club. This email will set out the amount payable and our bank account details for payment.
- Payment: Payment is made by bank transfer to the account provided in your confirmation email.
- Cancellation: If you need to cancel or change your booking, please let us know as soon as you can by emailing operations@omokoroafc.co.nz.
- Access: Details on how to access the clubrooms will be included in your confirmation email. Access is for your booked time only.
2. Use of the Clubrooms
- The clubrooms are hired for the activity agreed at the time of booking. The club may decline or cancel a booking where the intended use isn’t suitable for the space.
- Maximum capacity: 127 people. Please make sure your event stays within this limit.
3. Cleanliness & Kitchen Use
- General tidiness: The pavilion must be left in a clean and tidy state, suitable for immediate use by the next group.
- Dishes & utensils: All used dishes, cutlery, and kitchen equipment must be thoroughly cleaned and returned to their original storage spots.
- Fridge & freezer: All food and beverages brought in by the Hirer must be removed at the end of the hire period. Items left behind will be disposed of.
- Linen: If club dishcloths or tea towels are used, the Hirer is responsible for laundering them and returning them to the clubrooms within 48 hours.
4. Waste Management
- Rubbish removal: The club operates a “take it with you” policy. All rubbish, recycling, and food waste must be removed from the premises at the end of the hire. No waste is to be left in internal or external club bins.
5. Security & Safety
- Securing the building: It is the Hirer’s absolute responsibility to ensure all windows are closed and all external doors are locked before leaving.
- Reporting damage: Any breakages or damage to the building, equipment, or grounds must be reported to the Club Committee as soon as possible.
- Fire safety: Fire exits must remain clear at all times. The use of naked flames (candles, etc.) is prohibited unless prior written consent is given.
- Smoking & vaping: The clubrooms are smoke-free and vape-free, inside and on the deck.
6. Liability & Insurance
- Damage costs: The Hirer is responsible for the full cost of repairing any damage or replacing any property lost or destroyed during the hire period. This includes any costs incurred by the club that are not covered by insurance (e.g. insurance excesses).
- Indemnity: The Hirer shall indemnify and keep indemnified the Ōmokoroa Football Club against all actions, proceedings, claims, costs, and expenses which may be brought against the Club in relation to the Hirer’s use of the premises.
- Personal property: The Club accepts no responsibility for the loss or damage of any personal property brought onto the premises by the Hirer or their guests.
7. Conduct & Noise
- Noise levels: Please respect our neighbours. Music and noise must be kept to a reasonable level and must cease by 11:00 PM.
- Alcohol: Alcohol may not be sold on the premises unless the Hirer obtains the necessary Special Licence from the local council and provides a copy to the Club before the event. The Club may set conditions on, or decline, the consumption of alcohol at any booking.
